Torneo.org is operated by Sencira LLC ("we", "our", "us") and provides chess tournament management software. This policy explains what personal data we collect, why we collect it, and how you can control it. We keep this simple — no legalese filler.
Organizer accounts. When you register, we collect your name, email address, and (optionally) your organization name. We store a hashed password; we never store the plain text.
Tournament players. Tournament directors add players to events. Player records may include: name, email address, phone number, rating, FIDE ID, USCF ID, federation, club, birth year, and gender. This data is entered by the organizer or by the player during self-registration.
Club members. Organizers who use the club membership feature may store additional member records with membership status, membership number, expiry date, and notes.
Payment information. Entry fees and membership dues are processed by Stripe. We receive a confirmation and a transaction ID; we do not store card numbers or bank details.
Usage data. We log IP addresses for security auditing and rate limiting. We may collect aggregate analytics (page views, feature usage) to improve the product.
We do not sell personal data. We do not use personal data for advertising.
Torneo.org may allow users to opt in to receive SMS text messages related to chess tournaments and account activity. SMS messages are sent by Sencira LLC, doing business as Torneo.org, through Twilio. Messages may include tournament reminders, schedule updates, pairing notifications (e.g. "Round 3 pairings: Board 4 vs. Smith, White"), check-in reminders, chess club membership reminders, and account or registration-related notifications.
SMS consent is optional. You are not required to consent to SMS messages in order to create an account or register for a tournament. Message frequency varies depending on tournament activity, account settings, and the events or clubs associated with you. Message and data rates may apply.
To opt out: Reply STOP to any SMS from us, or click the unsubscribe link included in every message. Opting out is immediate and permanent — you will not receive further SMS from Torneo unless you explicitly re-subscribe. You can also ask your tournament organizer to remove your phone number from your player record.

Torneo.org and Sencira LLC do not sell, rent, share, or transfer mobile phone numbers or SMS opt-in consent to third parties, affiliates, or lead generators for marketing or promotional purposes. Mobile phone numbers and SMS consent records are used only to provide Torneo.org-related communications and related operational services.
We share data only with the following third-party processors:
Each processor has their own privacy policy and data processing agreement with us. We do not share data with any other third parties. As noted above, mobile phone numbers and SMS opt-in consent are never sold, rented, shared, or transferred to third parties, affiliates, or lead generators for marketing purposes.
Public tournament data (player names, ratings, pairings, standings) is visible to anyone who visits a tournament's public page. Organizers can restrict registration to keep a tournament unlisted.
Tournament and player records are retained for as long as the organizer's account is active. Organizers can delete individual player records or withdraw players at any time from the dashboard. If you close your account, we will delete your data within 30 days, except where retention is required by law (e.g. payment records for tax purposes, typically 7 years).

Passwords are hashed with Argon2. All traffic is encrypted in transit via HTTPS. Access to the database is restricted to application processes running on the same private network. We log all administrative actions with timestamps and IP addresses.
We use a single session cookie to keep you signed in. Cloudflare Turnstile may set cookies or use browser storage as part of its invisible bot-detection process on sign-in and registration pages. We do not use tracking cookies or third-party advertising cookies. If we add analytics, it will be aggregate only (no cross-site tracking).
Torneo may be used in connection with scholastic or youth chess events. Where information about minors is collected, it should be provided by a parent, guardian, chess club, tournament organizer, or other authorized adult. Torneo does not knowingly collect personal information from children without appropriate authorization.
We will post any changes on this page and update the effective date. Material changes will be announced to organizer account holders by email.
